Your client management system should track:
Communication history
Payment history and upcoming payments
Custom fields for hypnotherapy-specific details (like inductions that work well, metaphors that resonate, etc.)
Forms and documents they've completed
Be able to book them for appointments
Integrates flawlessly with other systems (like email sending, adding tags for tracking, etc)
When a client returns after six months, you should be able to pick up exactly where you left off – without frantically searching through files and emails five minutes before their session.
And at a glance you should be able to to see when the last time was they booked, outstanding balances, and whether they own any premium material, like a course.
This shouldn’t be rocket science.
It’s game over if you have to ask yourself, “Wait a minute, how do I send an email with this tool, when my clients are on that one?”
4. Marketing Automation
This is where most hypnotherapists fall short. They're great healers but terrible marketers – not because they lack ability, but because they lack systems.
Plus, marketing is one component and automation is the other.
Marketing in this case is just knowing how to build relationships and give value.
Overtime, this turns into an exchange of money for something more than what you offer for free while building the relationship.
Automation just means having some piece of technology that does the work for you.
You are reading this blog on some type of device. You don’t question how it works, you just click a button and ‘Ta-Da!’

So, slam those two words together and you get: Marketing automation! (Isn’t language great?)
Some people mistake marketing automation as being pushy or salesy.
But I’m inclined to ask you to think about it as nurturing relationships at scale.
And you can only do this by knowing how to do marketing the right way and having a system that ties some type of “set-it-and-forget-it” set of tools.
This includes everything from creating beautiful emails that shine to scheduling an entire nurture sequence after somebody opts-in for a Lead Magnet.
Everything should work seamlessly.
But, when it comes to both automation and marketing - most people don’t even know where to begin.
“Where do I even start?”
“What do I do when it doesn’t work right?”
“WHY DOESN’T THIS WORK WITH THIS OTHER THING?!”

It’s such an easy remedy, but is the pitfall of many hypnotherapists, hypnotists, and coaches.

The Integration Nightmare You're Living In
Here's what the typical hypnotherapist's tech stack looks like:
Calendar booking through Calendly ($15/month)
Invoicing through QuickBooks or Wave ($15-25/month)
